How Kanth London collects, uses and protects your personal information.

Last updated: 20 September 2026

Who we are

Kanth London Ltd operates this CPD portal at cpd.kanth.london. We are the data controller for personal information collected through this portal and for the carefully screened corporate business-to-business outreach described below. For privacy enquiries, contact [email protected].

What information we collect and where it comes from

We may collect your name, company or organisation, job title, professional contact details, email address and phone number when you register for an account, request a CPD session, submit an enquiry or communicate with us. For screened corporate B2B outreach, contact information may come from information supplied to us for a relevant project, professional or corporate directories, publicly available planning or professional sources, referrals, or direct correspondence. We also collect CPD activity such as attendance, assessment results, certificate records and authenticated presentation interactions including play, progress, pauses and completion milestones.

Why we collect and use it

We use information to administer CPD registration and attendance, provide the learning service, issue and verify certificates, send essential service communications, respond to enquiries and, where appropriate, make a carefully screened corporate B2B introduction to our relevant CPD. The lawful basis for this outreach is generally our legitimate interests in informing relevant corporate built-environment professionals about a technical CPD that may assist their work, balanced against the individual’s privacy rights and reasonable expectations. We do not treat an imported contact as proof of consent, sending authority or approval.

Legitimate interests assessment and eligibility

Before corporate B2B outreach is eligible, we consider the relevance of the CPD to the recipient’s professional role or project, the source and quality of the contact information, the likely reasonable expectation of a business communication, the limited nature of the message, and the potential impact on the person. Sole traders and uncertain ordinary partnerships are not eligible unless the record proves consent or a valid soft opt-in. Corporate status is not guessed from an email domain. Every message remains subject to administrator review, approval and suppression checks.

Your certificate and learning records

Your full name, company and job title will appear on your certificate of completion. Please ensure these details are accurate before your certificate is issued. Learning, assessment and certificate records may be retained where necessary to operate the service, answer verification requests and evidence the CPD completed.

Direct marketing and your absolute right to object

You have an absolute right to object at any time to the use of your personal information for direct marketing, including the corporate B2B outreach described here. You do not need to give a reason and an objection will not affect access to the CPD service. To opt out, reply “unsubscribe” to [email protected], use any available unsubscribe facility, contact us by telephone, or ask an administrator to record your preference. We will not ask you to continue explaining an objection before stopping marketing.

Suppression and do-not-contact records

When you object, opt out, complain, hard bounce or are otherwise recorded as ineligible, we retain only the information necessary to prevent future marketing, normally a normalised email address or safe matching identifier, the suppression reason and source, the relevant campaign or global scope, the date and time, and the administrator audit record. A suppression overrides other campaign states, revokes unused approval, cancels unsent schedules and is checked again immediately before any future provider submission. Suppression records are retained for as long as necessary to honour the preference and prevent reactivation, even if other outreach records are deleted.

Retention

We retain account information while your account is active and for a reasonable period needed for security, support and legal obligations. CPD attendance, assessment and certificate records are retained for as long as necessary to support certificate verification and professional record-keeping. Enquiry, campaign review and audit records are retained for as long as needed to manage the relationship, demonstrate responsible administration and meet legal or compliance requirements. We review retention periodically and do not retain information longer than necessary for its purpose.

Recipients and processors

We may use trusted service providers to host the portal, store and back up records, deliver transactional or approved operational email, provide Microsoft 365 email transport where connected, support security and maintain audit records. Providers process information only for the relevant service and under appropriate contractual and security controls. We do not sell personal information. Prospect outreach is not automatically sent and is not sent merely because information was imported.

Your other rights

Subject to applicable law, you may ask for access to, correction of, deletion of or restriction of your personal information, and may object to processing based on legitimate interests. You may also ask about the source of outreach information or how a legitimate interests decision was made. To exercise these rights, contact [email protected].

Contact and complaints

For privacy enquiries, objections or opt-out requests, email [email protected] or use the Contact page on this portal. You have the right to complain to the UK Information Commissioner’s Office (ICO) if you believe your information has been handled unlawfully. Information about the ICO is available at https://ico.org.uk/.

Changes to this notice

We may update this notice when our services, processing or legal obligations change. The latest version and its update date will be published on this page.
